That's where an intranet can help. Intranets provide the solution by enabling quick and easy retrieval of information. By typing in a search keyword you can easily retrieve all the documents which contain that word. You can search on a single word or a combination of words in AND/OR relationships.
If you don't want to search the entire database then choose from a list of your main intranet folders and the search will be limited to that folder only. When you store a document, you select which folder to save it in. You can store all your documents on the intranet server, but if you already have a large document archive on another server, no problem, they can be accessed on any other server on the network.
Retrieval is virtually instantaneous. That's due to a unique indexing system which builds an index of the major words in all your documents stored in the archive.
Normally this would be run overnight via an automatic routine we provide. However there is also a facility to rebuild the indexes straight away if required.
Of course, an intranet is far more than just a document storage and retrieval system. It's your internal web site for keeping staff up to date with company events, guidelines on HR issues, personality profiles and any other items of interest, with button links to frequently accessed web sites.
